The Agency receives your personal data when you are contacting us.
The Agency is processing your personal data to exercise the necessary review of your inquiry. the Agency process the personal data which has been collected regarding you to maintain an effective and rational case management and to keep track of which and how many cases the Agency has already completed.
The processing of your personal data is legally based in the General Data Protection Regulation, hereafter referred to as GDPR, article 6(1) letter c and e. This is the legal basis for the exercise of authority.
The Agency is processing your data when you send us written electronic mail. In that instance we process the content of the inquiry in compliance with GDPR, if the inquiry includes personal data. Other than that, the personal data which has been shared as part of communications will be processed e.g. E-mail addresses etc.
The Agency may share your personal data with others, if we are legally bound to do so e.g. if we receive a request for inspection of files. Additionally, the Agency may be legally bound to release your personal data to other authorities.
Information regarding you stored in our electronic case and document management system will be transferred to the Danish national archive for safekeeping after the rules in chapter four of the law of archives. The transfer will occur after the conclusion of the record period, wherein the case is closed.
The Agency will for a period of time after the conclusion of the record period, wherein the case is closed and transferred to the national archive, continuously be able to look up the information in a historical edition of the record period in our electronic case and document management system.

Your rights as a data subject
Under the General Data Protection Regulation, you have a number of rights in relation to our processing of information about you.

Right to see information (right of access)
You have a right to gain access to the information that we process about you and some further information.
Right to rectification (correction)
You have a right to have rectified incorrect information about you.
Right to erasure
In very special cases, you have the right to have erased information about you before the time of our ordinary general erasure.
Right to restriction of processing
In certain cases, you have a right to have restricted the processing of your personal data. If you have a right to have the processing restricted, in the future we may only process the information - except for storage - with your consent or for the purpose of determining, relying on or defending a legal claim or to protect a person or vital public interests. In that connection it is noted that archiving purposes are considered vital public interests.
Right to objections
In certain cases, you have a right to object to our otherwise lawful processing of your personal data.
Right to lodge a complaint with a supervisory authority
You have the right to file a complaint with the Danish Data Protection Authority, if you are dissatisfied with our processing of your personal data.
